HIPAA-Compliant by Design, Not by Checkbox

SnapNotes was built around the reality of clinical risk. We do not simply secure data. We limit exposure by design, reduce what is processed, and enforce strict boundaries before any AI system is ever involved.

Pre-AI Scrubbing and Redaction

Session data is scrubbed and redacted before any AI processing occurs. Identifying details are removed or masked at the boundary, reducing exposure and ensuring sensitive information never enters downstream models unnecessarily.

Data Encryption

All data is encrypted in transit and at rest using industry-standard protocols. This protects clinical information as it moves through the system and while it resides on our infrastructure.

Secure Encrypted Servers

Files are processed and stored on dedicated, encrypted servers. When a file is deleted, it is permanently removed using secure deletion protocols designed to leave no recoverable trace.

Layered File-Level Encryption

In addition to server-level encryption, every individual file is encrypted at the file level. Each layer adds protection, ensuring that even if one boundary were ever compromised, clinical content remains unreadable and isolated.

Auditability & Access Controls

Your data remains encrypted and is not directly accessible to our team in plaintext. Any access requires deliberate, logged actions with appropriate safeguards. Comprehensive audit logs allow us to review system activity if needed, supporting accountability, security review, and clinical due diligence.

Isolated AI Processing

AI processing occurs in isolated environments with strict scope controls. No raw session data is used for training, retained beyond processing, or shared across customers or systems.

Is SnapNotes secure?

Yes, We use well-known programming languages, libraries, and the best AI models to ensure your data is handled safely, never retained or misused. Our servers use multiple layers of encryption and are routinely audited for security.

Is it HIPAA compliant?

Yes, SnapNotes is HIPAA-compliant. We use state-of-the-art encryption technology to secure all data at rest and in transit. Additionally, all data on our servers is encrypted for extra security.

What information does SnapNotes track and store?

SnapNotes does not track or store any clinical information permanently. While data is processed, everything remains encrypted within your unique user session. Once you delete it, it's gone for good.

Is AI safe?

Yes. We use proven AI models that operate within strict commands, ensuring safe and accurate responses. The models also filter inappropriate content while still handling sensitive clinical data effectively.

Is it ethical?

Using technology to enhance administrative workflows is not only ethical but essential. As the demand for mental health care continues to surpass availability, we believe leveraging technology is necessary to support providers and improve access to care.

Our AI models are designed to assist, not replace. They do not substitute your expertise, invent information, or conduct therapy. Instead, they work to organize your sessions into structured, cohesive documents, streamlining your workflow while leaving you fully in control to review and approve every detail.

How is SnapNotes different from ChatGPT?

SnapNotes listens to ambient data and generates transcripts, which are then used to write clinical notes (SOAP notes, mental health assessments, etc.). There's no need to type or engage a chat prompt—everything is automatic.

Why choose SnapNotes over competitors?

SnapNotes was created by an LCSW and a team of developers who understand the needs of mental health therapists. We're not a big tech company—we're therapists passionate about sharing technology with our community.

Can I use SnapNotes on my mobile device?

Yes! As long as your device has a mic and internet connection, SnapNotes will work.

Is it complicated to set up?

Not at all. Just sign up, log in, and start using SnapNotes immediately. There's no installation or complex setup.

How accurate is it?

SnapNotes delivers highly accurate transcripts, even for conversations with two speakers. The notes are based on real data, and you have the option to review and edit them.

Can I request a custom output?

Yes! Reach out at contact@UMETLab.com, and we'll discuss creating a custom solution. We charge $50 per hour for developer time, with additional costs depending on the project's scope.

Do I control the writing? Does AI automatically submit notes to my EHR?

You remain in control. AI does not automatically submit documentation to your EHR. You can and should review and edit notes before submission.

What kind of customer support is available?

Does SnapNotes integrate with my EHR system?

At the moment, SnapNotes doesn't directly integrate with EHRs. However, you can easily export the notes and manually upload them to your EHR. We're working on future integrations, so stay tuned!

What happens if I have technical issues or bugs?

If you encounter any technical issues, feel free to contact our support team. We aim to resolve bugs as quickly as possible to ensure a smooth experience.

Can I export my notes?

Yes! SnapNotes allows you to export your notes in various formats, making it easy to upload them to your EHR or store them locally.
